For operators of buses, coaches and minibuses that require periodic maintenance or inspection, Aquarius IT’s Asset Maintenance solution gives you full control and 24/7 live visibility of your vehicle data from any web-enabled device. With Asset Maintenance you can also schedule and plan maintenance events, which helps to reduce vehicle downtime, and it provides a full audit trail. 

For PSVs, Asset Maintenance can also be integrated with Aquarius’s Tachograph Analysis software, Defect Check, Time & Attendance, Defect Reporting and eSIGN technologies, to provide an all-encompassing ‘connective’ fleet management solution for both drivers and vehicles.

Equally for operators not bound by tachograph rules, Asset Maintenance can be used as a standalone live vehicle/asset management solution, or it can be linked with Daily Driver Defect Reporting which provides further operational, cost and compliance benefits. A case example is  A1A Travel who operate 35 non-tacho PSVs on Merseyside and are committed to maintaining their minibuses to the highest of standards.

CASE STUDY – A1A TRAVEL

A1A previously operated a paper-based system for defect checking and maintenance planning, but have since embraced all the benefits of managing its fleet maintenance digitally with Asset Maintenance and Defect Check because it has made the compliance process a whole lot easier to administer and manage.

It’s also the flexibility of the software that works for A1A. For example, with Defect Check, they have been able to totally customise it for all their business needs, and many new ‘driver checks’ have been added to their template, some of which are not vehicle-related, i.e. yard security checks and drivers confirming they are carrying a valid CPC card.

Plus, due to the nature of A1A’s minibus business, operating short trips with multiple drivers, multiple defect checks can be done every day, and by using Defect Check in the Aquarius App there is one set fee. There is also an incident reporting facility on the Aquarius App, which ensures drivers are prompted to collect all the required information at the scene of an incident.

By linking the Defect App with Asset Maintenance, A1A also have instant real-time reporting if a fault is picked up on the check. The mechanic is notified immediately and can get the problem fixed, i.e., a chip in the windscreen, before it turns into a costly bill with a VOR.

A1A also uses Asset Maintenance to manage all their maintenance and MOT requirements and to plan in work a month in advance using the inbuilt planning calendar. The 6-weekly maintenance checks are customised to suit the business with the mechanics / fitters entering the information onto a tablet, which enables the Transport Manager to receive this information immediately.

With net zero decarbonisation set to be one of the hottest topics of conversation at this year’s CV Show, Mark Johnston (Director) discusses how Aquarius IT are committed to helping operators who have, or who are transitioning over to greener HGV, PSV and LSV transport.

We work with many customers (as you will have seen on page six of our winter CONNECTED publication) who operate multi-fuel vehicles, from electric, bio-fuel, hydrogen and CNG, and the advantage of our Defect Check App and Asset Maintenance software is that operators can customise and create their own digital check sheets and reports to support the maintenance and management of all vehicle types, as well as all green-powered assets.

Further, to meet the evolving needs of the industry, when we integrated Asset Maintenance with our Tachograph Analysis software, Defect Check App, Time & Attendance, Defect Reporting and eSIGN technologies, we were not only able to provide an all-encompassing ‘connective’ fleet management solution for non-eco traditional vehicles, but all vehicles. This is because the systems have inherently always featured customisable templates and reporting options, and is why much of the work had already been done when alternative fuel vehicles became a viable option for the road transport industry; meaning our customers were able to hit the ground running when they started to convert over to eco-powered vehicles – whether that be with one vehicle/asset or several.

For operators this also means that all driver / vehicle data can be shared on one platform and automatically cross-referenced across the full suite of products, for greater efficiency, visibility and ease of management. Plus, it means a busy transport office, operating multi-fuel vehicles, is not having to maintain more than one data set.

This integration also enables operators to drill into, and report on, linked driver and vehicle information and provides a full audit trail for all company assets requiring periodic maintenance or inspection. Integration with the Defect Check App, also enables defects (including those unique to eco-vehicles) and PMIs to be assigned to mechanics with a simple click of a button.

Equally for managing driver data, the connectivity between the Tachograph Analysis software with Time & Attendance and the Defect Reporting tools for example, gives operators a deeper layer of information when it comes to real-time analysis, forward-planning and compliance reporting.  This is proving very useful for companies who are currently either trialling or generally looking to analyse the day-to-day management of different fuel-type vehicles.

Optimising API Technology

To further assist in managing the data and analytics, we utilise API technology, something we have done for many years for companies with third party telematic and remote downloading systems for example, in order to make an even wider range of data available for greater visibility and efficiency, both for drivers and vehicles.

Training

Managing the transition to greenification, is not just about the vehicles either; it also requires a different approach to training and health and safety, and a key part of this is communication with drivers and staff. Our interactive Document Management System, which is also accessed via the Aquarius App for ease, is providing a great way to facilitate two-way electronic communications between the administrator and drivers. Policy updates, company memos, training materials, time sheets, expense claims and recruitment forms for example can all be sent en masse or as a tailored circulation, with electronic signatures and declarations able to be captured – and recipients able to reply with specific questions. 

In summary all of our integrated software solutions provide operators who on the road to net zero with a flexible and real solution for managing the operational and compliance needs of all types of vehicles.

The McBurney Transport group, one of Ireland’s largest independently owned logistics group, has extended its tachograph analysis software contract with Aquarius IT, and has proactively signed a new 5-year extension; with the company confirming that “they have never found a system as good, in terms of the level of data that can be analysed, cross-referenced, and reported on”.

Across the group McBurney Transport operates more than370 vehicles, supplemented by over 1050 trailers which include 700 refrigerated trailers, and has more than 1000 drivers on its system, comprising a mix of full- and part-time and agency drivers. To handle the compliance responsibilities involved with managing a team of this size, across eight sites and in four countries with depots in Northern and Southern Ireland, England and Scotland, the company started using ClockWatcher Elite, Aquarius’s tachograph analysis system, three years ago, and in this time, they have streamlined their entire operation, and reduced the administration time they spend on tachograph analysis by 90%.

Lyle Watson, Group Training Manager at McBurney Transport, said: “I’ve worked with tachographs for more than 30 years and encountered many systems, but I’ve never found a system as good as ClockWatcher Elite, in terms of the level of data you can analyse, cross-reference, and report on. Its flexibility and inherent ease of use are two other major features – I literally log-in on a morning, and the dashboard visually tells me everything I need to know at a glance in real-time, it automates everything for us. This also includes automating and visually cross-referencing data related to missing mileage and unaccounted vehicle movements, which is a fantastic tool, that we also use with our telematics system.” 

“Reporting is another key feature. During a recent audit for example, the number of reports we could access at a click of a button – many of which we didn’t know we even needed until we used ClockWatcher Elite – made the whole process seamless.  We were able to extract more information than was actually needed for the audit.

We also noted that the auditor trusted ClockWatcher Elite – this is important because in the past we have used systems where we have found flaws, i.e. where it’s not calculated WTD correctly. With ClockWatcher Elite everything is fully accounted for. During this audit process, we also needed help with one of the reports, and the immediate support we received from Aquarius was phenomenal.  We have never had this level of support before, and this is another reason why we also wanted to tie into a 5-year contract,” confirmed Lyle.

“In summary, before ClockWatcher Elite all our data was historical, but it’s now available at our fingertips in real-time, which for a company of our size, operating out of multiple depots across four countries with remote downloading systems, is paramount,” said Lyle.

Alongside ClockWatcher Elite, McBurney Transport also use Aquarius’s eSIGN technology for infringement sign-offs and reporting across its eight depots, which enables the sites to effectively manage their own resources and compliance responsibilities. Lyle added that this is another example of how Aquarius’s technology has streamlined the entire operation across four countries. 

On extending the contract Lyle also stated that in addition to the software per se, the company also values Aquarius’s compliance expertise. He said: “They have helped us out so much over the last three years because of their depth of knowledge about Drivers’ Hours Law and the WTD – they have educated us on some very niche areas, which is extremely helpful.  For us, this level of knowledge, and understanding of the law sets Aquarius apart from other tacho software providers.”

Waste-A-Way Recycling Ltd who provides specialist bulk haulage for the disposal of waste and recycling materials across the South and East of England, the East Midlands, and London, had an interesting journey on its way to achieving Earned Recognition (ER).  It included a complete change in the way its depots in Basildon, Colchester, and Rochester operate and report on driver and vehicle data.  And it was a move with the help of Aquarius that not only helped them achieve ER accreditation, it also revolutionised their business model and created far-reaching benefits. 

The first step on the journey, came when Ian Malone, the Transport and Health & Safety Manager at the Rochester depot called Subir, our National Account Manager, to discuss his motivations and aspirations for becoming the first waste disposal and recycling haulier to achieve ER – at the time Waste-A-Way was using Aquarius’s tachograph analysis software. It’s important to note that before starting on the pathway to ER each of the Waste-A-Way depots worked autonomously when it came to managing driver and vehicle data.

After consultation with Ian, Subir advised the first step forward for ER, as per the DVSA’s application criteria, would be for all three depots to combine and amalgamate their driver databases through one tachograph analysis software system. This way the company’s full driver compliance rating could be assessed against the ER standard, using Aquarius’s approved ER system. 

On completion, they could see where the infringement gaps were and what steps were needed to achieve ER.  Overall, the tachograph results were very good for Waste-A-Way, and by working with Subir to embed Driver Debrief and E-sign for example, and the company investing in remote downloading, Ian said infringements “soon dropped off a cliff”.

Alongside this, Waste-A-Way had put out a tender for a DVSA-approved ER vehicle maintenance software solution and subsequently agreed to put Aquarius’s Asset Maintenance on trial.  Previous to this they had always used a paper-based system to manually manage vehicle PMIs.  

They immediately saw all the benefits of having an integrated tachograph analysis and asset maintenance IT solution, which gave them full visibility in real-time of all the depots’ drivers and vehicles.  As busy transport offices, maintaining one data set made the process of managing compliance much easier and meant they could drill into, and report on, linked driver and vehicle information easily – and remotely.


A great example of this is with their in-house team of mobile fitters who do all the PMIs for each of the depots.  Ian explained, that before Asset Maintenance, the mechanics worked across all three depots, but there was no visibility, it was difficult to track their movements and there was no cohesiveness; but now, with all the depots working together on one live system, our mobile mechanics can immediately see where and which vehicles need fixing, creating massive time and cost efficiencies.

The final stage of the digital roll-out came via the Aquarius App, by introducing driver defect checks.

With Asset Maintenance and Driver Defect combined, when comparing with similar vehicle systems, Waste-A-Way said they preferred the flexibility and useability of Aquarius’s systems and they have significantly reduced VOR days. Integration with the Defect Check App, has enabled defects and PMIs to be instantly assigned to the mobile mechanics with a simple click of a button, providing 360° integration.

As a waste and recycling company, the number of assets, and the different types of assets the company manages is huge.  Whilst for ER, Aquarius’s approved Asset Maintenance system naturally ticked every box as it provided a full reportable audit trail for all vehicles requiring periodic maintenance or inspection, Waste-A-Way also wanted to go one step further.

Uniquely, they also wanted as part of the daily walkaround and maintenance checks for all their 161 assets to be included and integrated into the App and Asset Maintenance, including tractor units, walking floor trailers and fleet support vans, as part of their overarching aim of having full visibility and creating measurable efficiencies across the three depots.  With ‘other’ driver defect apps they wouldn’t have been able to achieve this, but by working with Aquarius’s in-house IT development team, a solution was created.

ER was a full-on fifteen-month journey for Waste-A-Way, of which Aquarius provided critical support for over six months. Not only did Waste-A-Way become the first waste disposal and recycling bulk haulier to successfully achieve ER, but they have also completely changed the way they work at every touch point of their business.

Ian Malone said: “This journey began by us wanting to achieve ER, so that we could stand out as a business and be formally recognised for operating to the highest standards of compliance – show customers how conscientious and committed we are.  We achieved all of this, in no small part thanks to Aquarius – in fact at one stage, while we were sorting out all the checks for the asset listings, Subir was a constant feature on my recent calls list!”

“Moreover, operationally for us as a team working across three depots on a day-to-day basis, we have gained so much more than just ER by implementing this company-wide digital process. 

“Moving away from a paper-based system to manage all our vehicle and asset maintenance procedures digitally and the integration with defect checking and tacho-analysis has been a game changer for us. “We’ve been able to deploy people’s time more efficiently and quickly, including our mobile mechanics; and having full visibility in real time of our driver / vehicle / asset data for all three depots on one system is not only helping us keep our excellent ER compliance rating, but it’s also completely revolutionised the way we work for the benefit of our staff and customers,” confirmed Ian.

Wickes Building Supplies Limited (“Wickes”) is one of the first companies to be benefiting from Aquarius IT’s new Asset Finance system, which has been developed to work in tandem with the company’s popular Asset Maintenance software to provides operators and workshop managers with an intuitive way of tracking costs, and monitoring maintenance / part costs related to each individual asset. 

As a well-known home improvement retailer and garden centre, with more than 230 stores throughout the country, Wickes’ transport operation plays a central role in the company’s domestic and trade service offering.  A key part of this is managing the company’s fleet of 250+ vehicles to make sure it is compliant, and maintained and serviced to the highest standards, while also keeping a track on repair and maintenance costs. 

Mark Wheeler, Wickes’ National Transport and Compliance Manager explained that Wickes’ fleet is all leased from a small number of suppliers, with each having full repair and maintenance cover as part of the agreement.  However, as part of the contract, Wickes’ is accountable for all non-repair and maintenance costs, i.e., damage, and historically, these costs have been captured on spreadsheets in no great depth of detail.

Mark said: “With Asset Finance, I can now capture and record these costs digitally, and analyse what particular vehicle parts are getting damaged, and if certain vehicles types are getting more damage than others for example. This is important, because the majority of our fleet are operated by a third party, and by having this level of detail and analysis, we can challenge the third party as to how they operate the fleet on Wickes behalf, and put pressure on them to reduce non-repair and maintenance spend.”

“Since embedding Asset Finance into our IT systems, alongside Asset Maintenance, we have also introduced weekly cost surgeries with our inhouse and 3PL partners.  At these meetings, we are able to report on the findings from Asset Finance, and challenge certain costs and receive credit back from the lease providers,” added Mark.

“Alongside Asset Maintenance, Asset Finance has been a game changer in how we can dynamically manage, track and report on repair and maintenance costs; the flexibility of the system also means we have adapted it to suit our company needs, and we can even manually create new categories, without incurring extra development costs.” 

“It has not only helped us operationally on a day-to-day basis, it is also saving us money,” confirmed Mark.

Not so long ago, the ‘clock in and clock out’ punch cards were the only feasible way of keeping a record of employee’s hours; and while they worked to a degree, they weren’t the most efficient, or accurate.  This all changed with advancements in mobile phone technology, with Time and Attendance software replacing the classic time clock, to help employers gain greater insight and monitor employee’s true start and end times in real time.

Aquarius IT’s Director Mark Johnston, explain why this is important.

Many organisations in the road transport industry operate around different time zones with employees working all different kinds of shift patterns or remotely across depots. All these factors have traditionally made it difficult for employers to keep an accurate track of employee’s time and attendance, and efficiently manage expenses related to pay and holiday requests. 

Our Time & Attendance system was originally developed to help customers manage all these administrative-burden tasks, but it was only really during the pandemic when digital became more prolific that customers started to truly see all the wider business benefits of digitising the way they manage employee’s time and attendance, specifically of ‘non-activity’ based hours.

This was further fused by every second needing to be monitored because of driver shortages and remote working becoming more prevalent; this augmented Time and Attendance and made it into an important ‘added value’ solution within Aquarius’s integrated model.  

Its connectivity with our tacho-analysis data, means that it can help operators dynamically manage tasks related to employee hours, shifts / rotas, holidays, expenses and pay in one integrated system – with all our customers citing a significant reduction in paperwork and increased efficiencies with the software able to be configured by department, by over-time specifications, and by pay classes and work schedules.

Remote employees are happier too, they are not only able to clock in and out (and if they forget to clock out a notification will be sent to the manager), but they are also able to request holidays and capture / submit their expenses via a smart phone for office staff to approve.  This alleviates employees constantly having to query their pay, or question why holidays are taking longer than they should to be approved. For all its benefits, Time and Attendance is also such a simple system to set-up, with minimal startup costs via the Aquarius App (which drivers using the App for Defect Reporting, Document Manager or Infringements will already be familiar with) and no additional investment in hardware required as it is compatible with a variety of smart devices including industry favourites such as the digipost Pro, Smart Phones and the Lisle Download Terminal.

CASE STUDY – FRESHLINC

Ashley Holland, Freshlinc’s Commercial Director, has been using Time & Attendance for several years to manage the end-to-end process of managing driver’s timesheets, and he said:

“For context before Time & Attendance, the administration involved in handling paper timesheets was a long labour-intensive process; from gathering the timesheets on a Monday, to then manually marrying the information with the tachograph’s start and end times, through to authorisation and accounts having to create spreadsheets ready for payroll would take three whole days to complete – and during this arduous weekly process, simple things like the accounts team not being able to read a driver’s handwriting was a regular occurrence.

Time & Attendance instantly removed every one of these barriers; we can see timesheets live in real-time, automatically map them against the daily tachograph downloads in the analysis software and authorise them digitally, and remotely, as we go along.  Then we simply process them in 2-3 hours on a Tuesday morning and digitally export them direct to payroll at the touch of a button.  It is as simple as that, and you don’t need to invest in expensive hardware equipment, as it all runs on the Aquarius App through a web browser.

In addition to simplifying and making the timesheet process efficient, it has also given us a traceable, reportable, and auditable system, and through its integration with Aquarius’s tachograph analysis software it further supports our compliance responsibilities – we can analyse and report on the data more effectively, and the system will flag driver infringements in relation to hours worked.

Being web-based, it also works effectively for our shift drivers and staff who work remotely. This became even more evident through COVID when Time & Attendance was invaluable and proved what a great system it was. Our drivers like it too, everything is visible in the Aquarius App on their mobile devices and they don’t have to carry around reams of paper.  We would highly recommend Time & Attendance, it’s a simple system that has created so many big time-saving efficiencies across the business.”

Yes, as a commercial workshop with external customers, we also have to exercise due diligence when it comes to vehicle safety.  For example, if we have inspected a vehicle and made recommendations that the owner chooses not to do, and then that vehicle is involved in an investigation or accident, we need to be able to show the DVSA our record of inspection. With Asset Maintenance we have a full audit trail for all our PMIs. 

CASE STUDY – COLLETT & SONS LTD

Nigel Thornton, Compliance Director at Collett & Sons Ltd, cites the connection between Time & Attendance and the digital tachograph data as one of the biggest benefits of the system, operationally and administratively – and said there is no other transport system on the market like Aquarius in terms of its connectivity and the way all the driver and vehicle reporting tools ‘talk’ to each other.

Specifically, on Time & Attendance, Nigel said: “We transferred our previous digital timesheet system over to Time & Attendance because it didn’t interact as well as Aquarius’s software system does with the digital tachograph data. This was an important time-saving and cost factor for us in terms of being able to easily map and overlay both sets of data to assess drivers’ hours being claimed and actual hours worked.  The holiday request functionality is also a massive boost, as we can quickly reply to drivers, and also add to the tachograph data, saving both time and paperwork. 

Our drivers, of all tech levels, also like the simplicity and the interactivity of the Aquarius App and the fact they have one login on their mobile device for all their daily reporting responsibilities; from defect checking to document management, accident reporting, and timesheets.

For us it’s also about the technical support Aquarius provides and with their in-house team, we have been able to tweak and play with Time & Attendance, as well as the other modules within the Aquarius App, to ensure it fits our exact business needs.”

Essex Bulk Services started with our tachograph analysis software over 10 years ago, when at the time they were managing 20 trucks … fast forward to today, and the family-run business, specialists in transporting bulk materials regionally and across the UK, operates 120 trucks and 140 trailers, maintain and repair their vehicles in their onsite workshop, which is also offered commercially and now operate their very own Driver CPC training academy.

To mark this decade, Subir Gupta, who has been managing the account since the beginning, spoke to Craig Childs, the company’s Director and Transport Manager, about more recent software developments, including Asset Maintenance and becoming one of the first operators to recently take on the new Asset Finance module.

First, what made you decide to change from arguably one of the biggest fleet maintenance software providers to Asset Maintenance?

Aquarius has been our preferred supplier for tachograph analysis software for 10 years now, and since then we’ve successfully embedded many of your driver compliance tools including Time & Attendance and eSIGN into our systems.  We then looked at your fleet compliance tools with the idea of having everything related to our driver and vehicle data integrated in one system and all the reporting functions on one App for the drivers, and so added Driver Defect.

As you’ve said, we already had in place a sophisticated digital system for vehicle maintenance as we run a busy workshop for our own 260 assets and external customers, but when we took on the daily walkaround checks, we liked the idea of the cross-integration of Asset Maintenance with the Driver Defect App, so you persuaded us to give it a trial!

What did you think at this trial stage?

Aside from all the operational, cost and compliance benefits that you inherently derive from integrating driver defects with a live vehicle maintenance system, what stood out for us was the flexibility of Asset Maintenance as compared to our current provider at the time. We liked the fact that we would have control of the system, and would be able to make the everyday changes we need in the workshop without incurring several hundreds of pounds in development costs each time a part number needs to be updated for example. This was one of the main business reasons for us taking on Asset Maintenance and we’ve never looked back.

Are there any other advantages of having all your driver and vehicle data integrated onto one platform?

Many. As a FORS Gold and Mission Zero operator we take our compliance responsibilities very seriously, and as part of this we must be able to demonstrate a consistent standard of roadworthiness and compliance, which the software enables us to do.  At the click of a button, we are now able to report on all our KPIs related to driver and vehicle compliance.

For ease of management too, having all our driver / vehicle data on one platform gives us greater visibility, meaning we are able to target ‘hot spots’ in real time.  Plus, it means we are not having to maintain more than one data set – its simply easier and more efficient.


Equally for managing driver data, the connectivity between all the driver and fleet compliance systems, gives us a deeper layer of information when it comes to real-time analysis, forward-planning and compliance reporting.

Are there any added considerations because you run a commercial workshop?

Yes, as a commercial workshop with external customers, we also have to exercise due diligence when it comes to vehicle safety.  For example, if we have inspected a vehicle and made recommendations that the owner chooses not to do, and then that vehicle is involved in an investigation or accident, we need to be able to show the DVSA our record of inspection. Moving on to our new system Asset Finance, you were one of the first to test and trial it alongside Asset Maintenance, what did you think?

To be honest it’s another gamechanger for us running a busy commercial workshop. It enables us to intuitivelymanage our inventory and suppliers, and monitor maintenance / part costs by asset type, tankers vs trailers vs. trucks for example in real time.  Plus, like Asset Maintenance, the system is completely flexible which ensures it meets our company’s specific needs.

Is there anything you’d like to finally add?

I’d like to end by talking about the great service and support we receive from Aquarius, because it’s this positive working relationship that underpins everything and is why we’ve been a customer for 10 years. Also, the fact you listen, and are always open to suggestions and if they are commercially viable, you will put new developments in place.  By having one company and one account manager to call for driver and fleet software support, also makes life a lot easier.
